Qualicaps automates business-critical document processing with Esker

Esker, one of the world's leading companies in process automation solutions, reports on the technological project carried out by the European division of Qualicaps, a multinational manufacturer of capsules and equipment for the pharmaceutical industry. The main objective is to automate the process of its critical business documents, such as certificates of analysis or production documentation.
This project has been developed at Qualicaps Europe's headquarters in Alcobendas (Madrid) for its plants in Europe, using Esker's technological solution and its capacity to manage complex list of telegram users in belgium validation workflows. It comprises two phases: on the one hand, formatting and production of documents and reports; on the other, the capture of supplier invoices using OCR technology.
The first phase involved automating the processes for generating two types of documents: certificates of analysis, which Qualicaps sends to its clients with certifications of the tests and chemical compositions of their products; and production documents.
Certificates of Analysis
Until the time of automation, certificates were generated from an AS/400 system and processed by hand, before being transformed into PDF documents. Presented in 150 evolving formats, the certificates were reviewed and approved by several people, and maintenance was also very complex each time a document was modified. Therefore, the objective of the project with Esker in this flow was to simplify the process and automate it, reduce the number of formats and allow both the approval and storage of documentation to be carried out electronically.

Production documents
In the case of production documents, the process involved generating and printing documents associated with the manufacturing process. The challenge was to save time, especially when selecting the correct paper for each format, taking into account that they consist of more than 50 forms and the operators had to organize them manually and then print them.
To meet these needs, Esker technology enables direct connection to the AS/400 and dynamic formatting of documents based on rules created and modified according to business needs. It also enables the generation of reports for decision-making, based on Crystal Reports technology.
